Privacy Policy
Setouchi Cruise, Inc. (hereinafter referred to as "we" “our” “us”) recognizes the importance of personal information identifying individual customers who use our services (hereinafter referred to as "P.I."), and works diligently to protect privacy. We will continue to revise and improve this privacy policy.
1. Observance of relevant laws and guidelines, etc.
We will comply with the Act on the Protection of Personal Information (hereinafter referred to as “APPI”) and related laws, regulations, and guidelines concerning the handling of P.I.
2. Acquisition of P.I.
When acquiring P.I., we will clearly state the purpose of its use. Acquisition will be conducted by legal and fair means and limited to the minimum extent necessary to achieve the purpose.
3. Purposes of P.I. use
P.I. received from customers when they make reservations is subject to APPI and related laws and regulations, and subject to customer consent and other legal grounds, shall be used only in the following cases or may be shared with third parties with consent from the customers.
- ①For procedures necessary to provide services on board guntû and off-ship
- ②For contacts with customers
- ③For various arrangements, such as sending materials and products, and responding to inquiries
- ④To send information on events, new products, new services, etc.
- ⑤For mail, telephone, e-mail or sales visit activities, after-sales service and marketing activities (e.g. questionnaire requests)
- ⑥For marketing analysis to produce better products and services
- ⑦For shipping products that customers bought onboard or from us
- ⑧For purposes separately announced or clearly specified to customers
- ⑨In the event that we consider it necessary to contact customers
- ⑩For the exercise of rights or performance of obligations under laws and regulations
In the event that we use P.I. of customers for business purposes other than those described above, we will inform customers of the purpose in advance. If we change the purpose of use, we will notify customers or announce the new purpose of use.
4. Provision of P.I. to third parties
We will not provide P.I. to any third party except under the following conditions:
- ①Upon obtaining prior consent from the customer
- ②In cases required by laws and regulations
- ③ In cases in which it is necessary for the protection of life, body, or property, and in which it is difficult to obtain the consent of the person in question
- ④In cases in which it is particularly necessary for the improvement of public health or the promotion of the sound upbringing of children and in which it is difficult to obtain the consent of the person in question
- ⑤In cases in which it is necessary to cooperate with a state agency or local public entity, or a person entrusted by it, in order to carry out affairs prescribed by laws and regulations, and in which obtaining the consent of the person in question is likely to interfere with the execution of the affairs
- ⑥In cases of disclosing or providing P.I. to subcontractors to the extent necessary to provide services to customers
- ⑦In cases of disclosing or providing P.I. to companies to the extent necessary to arrange services or products that customers request from us
5. Joint use of P.I.
We may jointly use P.I. with Group companies in the following ways:
- ①P.I. subject to joint use
・Name, date of birth, address, phone number, e-mail address, workplace, gender, transaction details, etc. - ②Extent of joint use
・Group companies of the Company - ③Purposes of use
・To provide products and services offered by the Company and Group companies
・To share information and conduct surveys etc. about the products and services offered by the Company and Group companies
・To notify the relevant company when the individual concerned has an inquiry or applies to use the products and services offered by the Company and Group companies
・To manage information of customers of the Company and Group companies
・To perform other tasks that are incidental to or related to the items above - ④Entity responsible for the management of personal information at the Company

6. Measures for secure management
We implement the following measures to securely manage P.I. in our possession.
- ①Establishment of a basic policy
・We have established a basic policy regarding matters such as observance of relevant laws and guidelines, etc. and contact points for dealing with complaints, etc. to ensure that P.I. is handled properly. - ②Setting of rules for handling P.I.
・We have set rules for handling methods, persons responsible, persons in charge, and their duties for handling P.I. at each stage such as acquisition, use, saving, provision, deletion, disposal, etc. - ③Organizational secure management measures
・We undertake periodic self-inspection and auditing by other departments of the status of P.I. handling. - ④Individual secure management measures
・Periodic training is conducted for employees regarding issues to consider in relation to handling P.I. - ⑤Physical secure management measures
・Measures are taken to prevent the theft and loss of equipment, electronic media, and documents with P.I. Measures are also taken to ensure that P.I. is not easily identified when equipment, electronic media, and other items are transported, including within the office. - ⑥Technological secure management measures
・Access is controlled; limitations are set for the persons in charge and the range of the handled P.I. database.
7. Storage period of P.I.
In the event that the storage period stipulated by laws and regulations has expired or if use is no longer necessary for the achievement of the use objectives described in [3], we will expeditiously delete the relevant P.I.
8. Management of subcontractors that handle P.I.
We may provide our subcontractors with P.I. to the extent necessary to achieve the purposes of usage of P.I. In this case, we will properly supervise the subcontractors in order to maintain confidentiality. When we outsource the processing of P.I., we will obligate such subcontractor by contract to ensure that no leakage or re-provision is made, and we will implement appropriate management.
9. Inquiries, disclosures, deletions, and corrections of P.I.
If customers wish to correct, suspend use, handle complaints, delete their P.I. in our possession or withdraw consent, please inquire to the inquiry desk below. We will inform you of necessary procedures. However, we cannot accommodate requests that may seriously impair our operations. We will take necessary actions without delay in accordance with the laws, regulations and our internal rules. In addition, if we cannot accommodate some or the entire request, we will explain the reason.
For disclosure of your P.I. in our possession, please send the required request documents listed under A to the inquiry desk. Requests will only be accepted by mail. After confirming your identity, we will respond to the request as soon as reasonably possible. However, if your case falls under any of the following categories, we may not be able to disclose all or part of your P.I.
- ①In cases where there is a risk of harming the life, body, property, or other rights and interests of the person or a third party
- ②In cases where there is a risk of causing a significant hindrance to the proper implementation of our operations
- ③In cases that may cause us to violate laws
<A. Documents required for requests>
In cases of requests by customer themselves
- ①Document specifying the purpose of the request
- ②Copy of valid driver's license, passport, or document confirming the identity of the individual
- ③Return postage for reply via registered mail with certificate of delivery
In cases of request by agents instead of customer themselves
- ①Document specifying the purpose of the request
- ②Documents that certify the agent’s qualification in case of statutory agents
- ③A letter of attorney in case of mandatary. Mandatary can attach certificate of registered seal for the confirmation of the letter of attorney
- ④Copy of valid driver's license, passport, or documents confirming the identity of the customer
- ⑤Copy of valid driver's license, passport, or documents confirming the identity of the agent
- ⑥Copy of certificate if the agent is a lawyer or tax accountant
- ⑦Return postage for reply via registered mail with certificate of delivery
